Hotel guest email exercise for jobseekers in Rwanda

Practise responding to a fictional enquiry without inventing a booking or sharing guest information.

Hospitality employers in Kigali advertise many kinds of roles, from reception and service to operations. For example, Villa Kigali’s careers page invites people to check its opportunities. The page is an employer example, not confirmation that a junior front-desk vacancy is currently open. A short, clear email is useful practice for customer-facing roles. The scenario below is fictional and was written by workrwanda.net; it is not a Villa Kigali application test.

The situation

A guest writes to ask whether an earlier check-in is possible on an upcoming weekday. Your sample information does not establish room availability. You do not have authority to approve exceptions.

A possible response: “Thank you for your message. We will check the availability of an earlier check-in for your requested date and confirm the options with you. Please share your booking reference through our official contact channel.”

The response acknowledges the request without inventing availability, a price or a guarantee. In real work, follow the employer’s approved policy and use its secure system to check bookings. Do not publish guest names or reference numbers in a practice portfolio.

Prepare a truthful interview example

Describe a situation where you listened to someone, checked information and followed up. A school event, volunteer activity or work experience can all provide examples. Explain your own role and what happened next. If you know Kinyarwanda, English or French, describe your real speaking and writing level; different adverts have different language requirements.

Check before applying

Read the role’s actual qualifications, experience, shift and application instructions. Confirm that a deadline has not passed and that the employer is accepting applications for that specific role. Ask about transport, hours and compensation before accepting, and do not pay someone who promises a placement.
